Who we are
Cambridge Rapid Components (“we”, “us”, “our”) is a precision sheet metalwork manufacturer. We are the data controller for the personal information described in this policy.

This policy explains what we do with personal information collected through our website at cambridgerapid.co.uk. It does not cover information you give us by telephone, by email, or in person during the course of a commercial relationship.
What we collect
When you use our contact form, we collect the name, email address, subject and message you enter, together with any drawing or part file you choose to attach. Our website also automatically records the IP address and browser information of the device used to submit the form. We record this to help us identify and block automated spam submissions.
When you visit any page, our hosting provider’s servers record standard technical information including your IP address, the pages you viewed, and the date and time. This is ordinary web server logging and is not used to identify you.
We do not run advertising, we do not build marketing profiles, and we do not currently use website analytics.
Why we use it, and our lawful basis
- To reply to your enquiry and prepare a quotation — because you have asked us to. Our lawful basis is legitimate interests, or taking steps prior to entering into a contract.
- To keep a record of the enquiry and any drawing you sent — so we can refer back to what was discussed and quoted. Our lawful basis is legitimate interests.
- To detect and block spam submissions — to keep the form usable. Our lawful basis is legitimate interests.
- To keep server logs — for the security and reliability of the website. Our lawful basis is legitimate interests.
Where we rely on legitimate interests, our interest is in responding to commercial enquiries and running our website securely. We have considered whether this could override your rights and concluded that it does not, because the information involved is limited to business contact details and the enquiry you chose to send us.
Drawings and technical files
If you attach a drawing or part file to an enquiry, we treat it as commercially confidential. We use it only to understand and quote for your requirement. We do not share it outside our business without your agreement, other than where we need to involve a supplier or subcontractor in order to quote or produce the work — in which case we share only what that supplier needs.
Who we share information with
We do not sell personal information. We share it only with organisations that provide services to us:
- IONOS — hosts our website and its database, and provides the servers that record standard web logs.
- Microsoft — provides our email. Enquiries sent through the form arrive in a Microsoft 365 mailbox.
- Fraction ERP — our manufacturing and quotation system. Where an enquiry progresses, your contact details and requirement are recorded there so we can quote and, if you place an order, manufacture it.
- Google — our Contact page currently embeds a Google Map, and our pages load typefaces from Google Fonts. Both mean that when you view those pages, your IP address is transmitted to Google. We are changing this so that Google receives nothing unless you actively choose to open the map.
We may also disclose information where we are legally required to do so.
How long we keep it
- Enquiries that do not lead to an order: 2 years from your last contact with us.
- Enquiries that lead to an order: 6 years from the end of the contract, matching the period during which a claim could be brought.
- Drawings and technical files: for the same period as the enquiry or order they relate to.
- Web server logs: as set by our hosting provider, typically a short rolling period.
At the end of these periods we delete the information or anonymise it.
Where it is stored
Information you submit is stored on our website’s database, in our Microsoft 365 mailboxes, and in Fraction ERP. Where any provider transfers information outside the United Kingdom, they do so under the safeguards required by UK data protection law.
Cookies
Our website uses a small number of cookies that are necessary for it to work, and for logged-in staff to administer it. These do not track you.
The Google Map embedded on our Contact page currently sets cookies belonging to Google when that page loads. We are changing this so the map only loads if you choose to open it. Until then, you can prevent these cookies by blocking third-party cookies in your browser settings.
We do not use advertising or analytics cookies.
Your rights
Under UK data protection law you have the right to:
- ask what personal information we hold about you, and get a copy
- have inaccurate information corrected
- ask us to delete information, where we no longer need it
- object to us using your information on the basis of legitimate interests
- ask us to restrict how we use your information
- receive information you gave us in a portable format
